Refund / Cancellation Policy

1. General Policy

Token Management System may be provided through a subscription, implementation package, customization project, support agreement, or one-time setup model. Refund and cancellation eligibility depends on the selected plan, signed proposal, invoice, service agreement, and work already completed.

2. Demo or Trial

If a free demo or trial is provided, users are expected to evaluate the system before purchasing a paid plan or implementation. Once a paid implementation, setup, customization, or subscription is started, refund eligibility may be limited.

3. Subscription Cancellation

Customers may request cancellation of their subscription by contacting support. Cancellation requests should include hospital or organization name, registered email or mobile number, plan or invoice details, reason for cancellation, and preferred cancellation date. After cancellation, access may continue until the end of the current billing period unless otherwise agreed.

4. Refund Eligibility

Refunds may be considered only when payment was made twice by mistake, payment was deducted but service was not activated, a billing error occurred, the service could not be delivered due to reasons confirmed by our team, or refund is approved under a written agreement or proposal.

5. Non-Refundable Items

Completed implementation work, custom development or customization charges, training charges, setup and configuration charges, data migration charges, third-party service charges, hosting, SMS, WhatsApp, email, or payment gateway charges, used subscription period, support already delivered, and services delayed due to customer-side dependency are generally non-refundable.

6. Cancellation During Implementation

If cancellation is requested after implementation work has started, charges may apply based on completed work, resource usage, planning, configuration, customization, meetings, training, or support already provided. Any approved refund will be calculated after deducting applicable charges.

7. Refund Processing Time

Approved refunds will be processed within 7-15 business days after confirmation. The actual credit time may depend on the payment provider, bank, or payment method.

8. Plan Downgrade or Upgrade

Customers may request plan upgrades or downgrades. Billing adjustments, if any, will depend on the active plan, usage, agreement, and billing cycle.

9. Service Termination for Policy Violation

No refund will be provided if access is suspended or terminated due to misuse, unauthorized access, payment fraud, violation of terms, or illegal activity.
